Central Scheduler: Rota & Planning Coordinator
About the Role:
We’re establishing a new centralised scheduling function at Love @ Care and we’re looking for a skilled, logical, and detail-driven Scheduler to help shape it. In this role, you’ll take ownership of building and maintaining rotas and visit schedules across our care services. You’ll work with digital systems, data, and local managers to ensure our care delivery is resourced efficiently and effectively balancing availability, travel time, continuity of care, and staff wellbeing.
This is not a traditional care coordinator role, it’s a professional planning function requiring process thinking, data accuracy, and confident use of tools like Excel & scheduling software.
Key Responsibilities
- Build and maintain staff rotas and visit schedules across multiple service areas
- Use planning software and spreadsheets to allocate visits effectively and fairly
- Spot and resolve conflicts, overlaps, or shortfalls in coverage
- Collaborate with team leads and service managers to understand staffing, geography, and client needs
- Create and refine scheduling processes to improve clarity, efficiency, and compliance
- Track scheduling KPIs and provide regular reporting to operational managers
- Support the integration of rota data with payroll and internal systems
What We’re Looking For:
You might have a background in care, logistics, workforce planning, or operations what matters most is your ability to think clearly, solve problems, and manage complexity with confidence.
Essential Skills & Experience:
- Experience in a scheduling, rota management, resource planning or logistics role
- High level of confidence with Excel (e.g. lookups, formulas, pivots)
- Strong organisational skills and attention to detail
- Ability to manage changing priorities and stay calm under pressure
- Comfortable creating or improving digital processes and workflows
- Excellent communication and collaboration skills
- Desirable (not essential):
- Familiarity with rota/scheduling software (e.g. Care Line Live, People Planner, Staffplan)
- Knowledge of care sector regulations (e.g. travel time, continuity of care)
